Privacy Policy
Last updated: 22 August 2026
This Privacy Policy explains how Seen Sooner (“we”, “us”, “our”) collects, uses, and protects information when you use seensooner.co.uk. We are committed to protecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
Seen Sooner is a free online tool that helps people in the United Kingdom find ADHD and autism assessment providers. The site is operated by Steve Banks as a sole trader, based in the United Kingdom, who is the data controller for the personal data described in this policy.
If you have questions about this policy or how we handle your data, please contact us at hello@seensooner.co.uk.
2. Information we collect
Matching tool inputs: When you use our matching tool, you enter a UK postcode, select an age group, and choose an assessment preference. We do not store this information — it is used only within your browser session to generate your matched provider results and is never transmitted to our servers or retained after you leave the page.
Click-outs to providers: When you click through to a provider's own website (via an “Enquire” or “Visit website” link), we record which provider was clicked, the page you clicked from, the time, and a one-way cryptographic hash of your IP address (used only to filter out automated/bot traffic — we cannot reverse it back to your actual IP). We do not collect your name, email address, or any details about why you're contacting the provider — you provide those, if at all, directly to the provider on their own site, under their own privacy policy.
Provider registration enquiries: If you're a provider registering interest in being listed on Seen Sooner, the registration form collects your name, role, email, phone number, and details about your practice, which we email to ourselves to review before adding a listing. This is business contact information about a clinic, not information about a patient.
Automatically collected information: Like most websites, we and our third-party partners (including Google) automatically collect certain information when you visit our site. This may include your IP address, browser type, device type, pages visited, time spent on pages, and referring URL. This information is collected via cookies and similar tracking technologies.
Special category data (Article 9 UK GDPR): Seen Sooner does not ask you to disclose, and does not knowingly collect, health information, diagnoses, or any other special category data through the site. Because we do not process special category data, no Article 9 condition for processing is required. If you are a patient or carer using the matching tool, we have no way of knowing — and do not need to know — any details of your or your child's condition. When you click “Enquire” or “Visit website,” you leave Seen Sooner and land on the provider's own site. Any health information you choose to share from that point on is given directly to the provider, under their privacy policy, not ours — we recommend checking it before sharing anything with them.
3. Cookies
Cookies are small text files placed on your device by websites you visit. We use cookies for the following purposes:
- Essential cookies: Required for the site to function correctly (e.g. session state). These cannot be disabled.
- Analytics cookies: We may use anonymised analytics to understand how visitors use our site so we can improve it.
- Advertising cookies: We use Google AdSense, which places cookies on your device to serve relevant advertisements. These cookies may use data from your prior browsing activity across other websites to personalise the ads you see.
You can change your analytics cookie choice at any time using the Cookie preferences button in the bottom corner of every page. You can also control or disable cookies through your browser settings, though disabling essential cookies may affect how the site works. To opt out of personalised advertising, visit Google's Ad Settings.
4. Google AdSense and advertising
Seen Sooner uses Google AdSense to display advertisements. For users in the UK, Google AdSense is provided by Google Ireland Limited, with Google LLC in the United States acting as a sub-processor. Google uses cookies and similar technologies to serve ads based on your visits to this and other websites.
Google's use of advertising cookies enables it and its partners to serve ads to you based on your visit to our site and/or other sites on the internet. You may opt out of personalised advertising by visiting Google's Ads Settings or by visiting Your Online Choices, the UK and European advertising opt-out.
For more information on how Google collects and uses data, please review Google's Privacy Policy.
We do not control the cookies placed by Google AdSense and are not responsible for Google's data practices. Google acts as an independent controller of data collected through its advertising products.
5. How we use your information
We use the information collected to:
- Provide and improve the Seen Sooner matching service
- Display advertising through Google AdSense to fund the free service
- Monitor site performance and fix technical issues
- Comply with legal obligations
Our lawful basis for processing under UK GDPR is legitimate interests (to operate and improve the service) and, where advertising is involved, consent in accordance with applicable regulations.
6. Third-party services
Our site uses the following third-party services that may process data:
| Service | Purpose | Privacy Policy |
|---|---|---|
| Google AdSense | Advertising | policies.google.com |
| Google Analytics (if enabled) | Site analytics | policies.google.com |
| Leaflet / OpenStreetMap | Interactive mapping | osmfoundation.org |
| Firebase Hosting (Google) | Website hosting | firebase.google.com |
| Google Cloud Firestore | Stores anonymised click-out counts and community wait-time reports (see Sections 2 and 7) | cloud.google.com |
| Resend | Delivers provider registration enquiry emails | resend.com |
7. Data retention and security
Your matching tool inputs (postcode, age group, preference) are never stored on our servers — there is nothing to retain.
Click-out counts per provider are kept indefinitely as anonymised statistics (they contain no information capable of identifying you). The short-lived records used to detect automated/bot traffic — hashed IP addresses and timestamps — are automatically deleted after 24 hours. Community wait-time reports are kept as an anonymised running average per provider; the underlying anti-abuse records are automatically deleted after 48 hours.
Provider registration enquiries (name, email, and practice details submitted by someone registering a clinic's interest in being listed) are retained in our email records for as long as needed to review and action the listing request.
Data collected by third-party services (such as Google) is retained and processed according to their own policies. We implement reasonable technical measures to ensure our site is secure and up to date — no part of the site accepts direct database access from a browser; all data handling happens on our servers.
8. Your rights under UK GDPR
As a UK resident, you have the following rights regarding your personal data:
- Right of access: You can request a copy of the personal data we hold about you.
- Right to rectification: You can ask us to correct inaccurate data.
- Right to erasure: You can request deletion of your data where we no longer have a lawful basis to hold it.
- Right to object: You can object to processing based on legitimate interests, including for direct marketing.
- Right to restriction: You can ask us to limit how we use your data while a query about it is resolved.
- Right to data portability: Where we process data you provided on the basis of consent or a contract, you can ask for it in a portable format.
- Right to withdraw consent: Where processing is based on consent, you can withdraw it at any time.
We will respond to any request within one month. Seen Sooner does not carry out automated decision-making that produces legal or similarly significant effects. Provider results are ranked algorithmically, but that ranking uses only the postcode and preferences you enter for that search and produces a list of suggestions, not a decision about you.
To exercise any of these rights, contact us at hello@seensooner.co.uk. If you are unsatisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO).
9. International transfers
Some of the services we rely on are provided by companies based outside the United Kingdom, or store data outside it. These are Google (Firebase Hosting, Cloud Firestore, Google Analytics and Google AdSense) and Resend, which delivers email sent through the site.
Where personal data is transferred outside the UK, we rely on the transfer mechanisms permitted under Chapter V of the UK GDPR: either the UK Government's adequacy regulations for the country concerned, or the International Data Transfer Addendum to the EU Standard Contractual Clauses, which each of these providers offers as part of its data processing terms. Copies of the relevant terms are available from us on request.
10. Children's privacy
Seen Sooner provides information about ADHD and autism assessment services for children on behalf of their parents and carers. We do not knowingly collect personal data directly from children. The information entered into our tool (such as age group) is provided by adults and is not retained.
11. Links to other websites
Our site contains links to provider websites, the Care Quality Commission, NHS resources, and other third-party sites. This Privacy Policy applies only to seensooner.co.uk. We are not responsible for the privacy practices of other sites and encourage you to review their policies before sharing personal information.
12. Changes to this policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated “Last updated” date. We encourage you to check this page periodically.
